- Hours for Exhibit buildings shall be Tues: 12:00 noon to 9:00pm*Wed & Thurs 10:00am to 9:00pm*Fri & Sat 10:00am to 10:00pm Saturday is no longer optional no exceptions. Should you leave early you will forfeit your space for the next year. Saturday Night is Jr Livestock Sale – All vendors MUST remain open.
- Food concession hours shall be as follows: Tuesday 11am -10pm, Wednesday - Friday 9am - 10pm, Saturday 9am - 10pm ALL DAY NO EXCEPTIONS!Should you leave early, you will forfeit your spot for the next year.
Set up and tear down hours:
1.Set up will begin on Monday at 8:00am. Arrangements to set up earlier can be made. You must be set up and ready by 11am Tuesday the start of fair week. If you are not set up by 11AM you automatically forfeit your reserved spot with no refund. There will be a schedule given right before the county fair for all the trailers that are coming in.
2. Tear down will begin SATURDAY 10:00pm. You are welcome to haul out through the east end of the exhibit barn dolly or cart only. No vehicles will be permitted inside the fairgrounds until ALL of the livestock have been released at Sunday morning. Once all animals are gone that morning you may pull vehicles in. No Exceptions.
- All food vendors are to obtain proper health inspection documents as well as any necessary permits to operate a food concession. These arrangements should be made in advance and shall between the Food Vendor and New Mexico State Health Inspector and shall be the responsibility of the Food Vendor. The Eddy County Fair Association, Inc., is under no obligation to either of these parties.
- All vendors that have trailers, it is the vendor’s responsibility to be able to pull in, park and set up your trailer. This is not the responsibility of the Eddy County Fair Board. There will be a schedule sent out right before the county fair outlining times that you are able to set up.
- A copy of such documents shall be always present and visible in concession booth. Failure to have made such arrangements by 3:00pm on Tuesday will result in immediate termination of contract. The food vendor will then be instructed to leave the Eddy County Fairgrounds with rental fees forfeited.
- All food concessions shall be familiar with, demonstrate and follow all rules, regulations and guidelines as set forth by the New Mexico State Environment Department for a safe and sanitary food service environment.
- Exhibitor is responsible for supplying electrical cords and water hoses.
- The Eddy County Fair Board will not be allowed to perform any work on any booth or trailer that is not property of the Eddy County Fair Board. For example, if there is a problem with trailer electrical, they will make sure all the power that is going to the trailer is good, other than that they will not be able to work on the trailer.
- Booths are to be decorated in an appealing manner and be kept neat and clean at all times. Booths will be judged during fair hours and the winner will be presented with a plaque.
- The booth occupant shall be responsible for any and all damages to the booth area and shall be billed for such damages. The Eddy County Fair Board reserves the right to hold random booth inspections.
- Vendor Exclusivity: The Eddy County Fair wants to make every effort to provide a successful venue for our vendors. We will limit the number of vendors with similar products. In order to help us to do this please list the specific products you will be selling on the second page.
- Deadline for Booth Reservations – May 31st. No booth shall be considered reserved until donation and full contract has been received by the booth committee (please call to confirm we have received your contract and donation).All Vendors from previous years shall have first choice on their previous booth up until this date only.If your organization requires a PO #, PLEASE make arrangements in plenty of time prior to booth reservation deadline to avoid forfeiture.
The Eddy County Fair Association, Inc. agrees to provide the following for booth occupants:
- Provide as much advertising and publicity in the newspapers, radio & television as is practical.
- To make Fair Grounds and/or buildings available to provide ample time for set-up.
Rates- Booth Rates shall be as follows and should be considered a nonrefundable fee:
